How Medical Technics Engineering Achieved Operational Excellence with Dynamics 365 Business Central
The Client:
Medical Technics Engineering (MTE) provides a wide variety of medical and laboratory supplies – equipment and machinery – for the needs of medical specialists, healthcare facilities or private households. Medical Technics Engineering is a proven leader in the medical device industry. The company also has their own authorized service center and an online store – Medidom. MTE is dedicated to the aim of providing excellent service in the medical field and prioritizing people's health by offering high-quality medical equipment.
Business case:
Due to the lack of support and upgrades in their previous ERP system, MTE experienced numerous challenges in their operational efficiency and business development. The medical devices company needed an implementation partner that would provide continuous support, proven high-quality services and innovative solutions which will guarantee their long-term success.
The lack of connectivity was causing miscommunication, costly mistakes, and poor decision-making. Moreover, managing such a large warehouse was becoming increasingly challenging for the team due to the system chaos. And as the industry was becoming more open to innovations, MTE’s development goals and the need for an upgrade were becoming more demanding.
The Solution:
After conducting research on the ERP solutions on the market, MTE recognized Microsoft Dynamics 365 Business Central as the right choice for their future growth and NavTech Group as their trusted ERP vendor. They chose Dynamics 365 Business Central because of its ability to consolidate numerous business functions, its relatively smooth implementation process, and its customizability. As understood at the meeting that took place before the start of the project,
NavTech Group was the company that understood their business and needs. NavTech carried out the ERP implementation, working together with the MTE team to help them achieve their goals and make the transition as smooth as possible. NavTech's team provided extensive training to MTE’s employees as well as the necessary support after the Go-Live stage to ensure maximum efficiency.
Financial Management
The Finance module of Business Central allows MTE’s team to set up their account charts, currencies, bank accounts, financial transaction requirements as well as manage all purchase and sales invoices, refunds, bank accounts, and more. The financial management processes across the medical company are executed with great precision and speed as the system eliminates the need for manual work.
Fixed Assets Functionality
The time-consuming and often challenging task of managing fixed assets is automated with Dynamics 365 Business Central. The Fixed Assets functionality allows MTE’s team to record maintenance expenses, update insurance information, manage budgets, track, calculate and analyze depreciations, transfer fixed assets to different locations. The ERP system enables users to monitor assets throughout their entire lifecycle – from acquisition to disposal.
Inventory management
It was of high importance for MTE to integrate a centralized system that will simplify the process of inventory management. The inventory functionality of Dynamics 365 Business Central helps the team handle key operations: inventory analysis; reclassification of available items; analysis of stock turnover; evaluation of buyer behavior, and many more.
With the integrated barcode scanning function, MTE’s team maintain full visibility over item availability, so that they can minimize the risk of under or overstocking. MTE can count, adjust and reclassify inventory, transfer inventory between locations with Transfer orders, reserve items for all kinds of orders, set up item tracking, and more.
Sales Module
MTE’s team handles and sets up all sales operations and documents in Dynamics 365 Business Central – sales quotes, sales orders, invoices, client offers, price calculation, payment methods, credit limits, canceled orders, refunds and returns. To cover all aspects of their sales operations as part of the medical device industry, NavTech Group's team integrated the following add-ons:
Sales – Assistive Devices
With the Assistive Devices add-on, MTE processes orders and approvals for assistive devices through the National Health Insurance Fund (NHIF). Once the order is approved, a sales order is created in the system, and the personal identification number (PIN), approval number, and approval date from NHIF are entered. The contract limit prices are monitored, with an option for the customer to pay the difference. The repair activities for assistive devices are also regulated according to their operational life and they have a set price limit per item.
Sales – Orthopedics
MTE creates sales orders by filling in the information about the medical operation, which is automatically transferred to the invoice. MTE's team can do numerous sales operations, such as make a transfer to the medical facility or from the medical facility to the main warehouse; generate a sales invoice to the medical facility; generate a sale from MTE to Medidom.
Sales – Apparatus and Equipment
With this add-on, MTE’s team handles the process of selling apparatus and equipment. When creating their sales quotes, users can separate customers into different mailing groups for targeted sales quotes – for example, physiotherapists, veterinarians, etc. For the shipment of items, users have the choice between internal transport or external transport with a courier.
Sales – Medical Supplies
With the add-on, MTE's team manages medical supplies orders, quote approvals, item reservations, alerts for received quantities on delivery, sales order invoicing, and more. Users also access sales reports, tender reports and customer debt reports.
Sales – Clinical Laboratory
MTE use this add-on to generate service contracts to rent out laboratory equipment to healthcare facilities. After the contract term expires, the equipment is either transferred to the healthcare facility under a donation contract or sold.
Logistics/Transportation for Sales
The transport of goods to the client can be organized with a courier, using in-house or external transport. Transport requests are organized based on the logistic zone, cargo volume, delivery time, sales direction and order value. In the case of direct sales to client, the items are sent directly from the supplier's warehouse to the client's warehouse.
Repair, Maintenance, Service, Prevention
To ensure that all medical devices are of the highest quality for customers, MTE needed a properly functioning Service module. The add-on handles the repair, maintenance, service and prevention processes in the company. The team can create and manage repair requests, keep track of necessary maintenance procedures, place devices in service, and follow the expiry date of items.
Purchasing Module
The purchasing module of Business Central ERP offers tools for managing purchase offers, orders and invoices, tracking accounts payable, updating inventory levels, shipments, purchase budgets, following purchase reports and dealing with cancelled orders, refunds, and returns.

Thanks to actionable insights and analytics tools, MTE’s team can craft targeted marketing campaigns and work continuously towards their development.

In addition to the standard reports of Dynamics 365 Business Central, NavTech Group extended the solution with the integration of Tableau – a business intelligence tool for data analysis and reporting. The additional reports include detailed analytical reports on expenses, revenues, and profitability by departments and the company as a whole; sales and profit of items by customers and documents; current balances of suppliers and customers; analysis of the inventory movement across warehouses.
